Xero, FreshBooks, Zoho Books, Wave, Odoo and NetSuite compared with QuickBooks Online on list price, free plans and how each counts users.

6 Best QuickBooks Alternatives in 2026 (Free, Cheaper and Bigger)
ByHiteshi SoniΒ· Marketer, Questera

The best QuickBooks alternative for most small businesses is Xero if you want unlimited users without per-seat fees, Zoho Books if you want the cheapest paid plans and a free tier, Wave if you want free invoicing and bookkeeping, and FreshBooks if you bill clients for services. For a growing company that wants accounting inside a wider suite, Odoo starts free for one app; for a business heading toward full ERP, NetSuite is the usual step up, priced by quote. Prices below are as of October 2026, in US dollars.

Most people searching for a QuickBooks alternative aren't unhappy with double-entry bookkeeping. They're unhappy with a user cap, a promo price that ended, or a feature that only lives on the next tier up. Those are fixable.

How we compared

We compared the price of each tool's entry and mid-tier plans and their billing basis, whether there's a free plan, how users are counted, and which everyday features (bills, projects, inventory, payroll) need an upgrade. Prices and limits come from each vendor's own US pricing page, checked on October 12, 2026. Promotions change weekly, so we quote list prices where the vendor shows both.

This is a software comparison, not tax or accounting advice. Before you switch ledgers, talk to your accountant: they'll need to support the new system, and moving mid-year has consequences for reporting.

Why look for a QuickBooks alternative

Start with QuickBooks Online's own pricing page. List prices are $38 a month for Simple Start (1 user), $85 for Essentials (3 users), $140 for Plus (5 users) and $340 for Advanced (25 users). When we checked, Intuit was offering 50% off for the first three months, and there's now a Free plan for one user that can send 2 invoices a month and connect 1 bank.

The friction points are predictable:

  • User caps by tier. A fourth person who needs access moves you from Essentials to Plus, a $55-a-month jump at list price.
  • Features on the next tier. Project profitability, budgets and inventory tracking are listed on Plus, not Essentials.
  • The promo cliff. Three months at half price is nice. Month four is the real bill, so budget on list price.

If one of those is your reason, the fix is a tool that counts users differently or puts the feature you need lower down. If QuickBooks works and the price doesn't bother you, staying put is a fine answer: your accountant likely already knows it.

The 6 best QuickBooks alternatives

1. Xero – best for teams that want no per-user fees

Xero's US pricing has three plans: Early at $27 a month, Growing at $59 a month and Established at $97 a month, with "no per-user license fees." Early lets you send quotes and 20 invoices and enter 5 bills; Growing and Established drop those caps, and Established adds international bill payments. Payroll is available through Xero Payroll, powered by Gusto. Xero was showing a free first month when we checked.

Who it's for: small businesses with several people in the books, such as an owner, a bookkeeper and an office manager, who don't want to pay per seat. Limits: Early's invoice and bill caps are tight for anyone sending more than a handful of invoices a month.

2. FreshBooks – best for service businesses that bill clients

FreshBooks is built around invoicing clients. Lite is $23 a month and can bill 5 clients, Plus is $43 a month for 50 clients and Premium is $70 a month for unlimited clients; Select is a custom plan. Team members cost $11 a month per user, and FreshBooks Payroll is $40 a month plus $6 per user. Plus adds proposals, retainers, receipt scanning and accountant access; Premium adds project profitability. Promotional prices for new customers are common, so read the "was" price.

Who it's for: consultants, agencies and trades that live on estimates, proposals and invoices. Limits: billable client caps on Lite and Plus, and every extra team member adds a monthly charge.

3. Zoho Books – best value, with a real free plan

Zoho Books prices per organization, not per user. The Free plan stays free while annual revenue doesn't exceed $50K, with 1 user plus 1 accountant and up to 1,000 invoices a year. Standard is $15 per org per month billed annually ($20 monthly) with 3 users, Professional $40 ($50 monthly) with 5 users, and Premium $60 ($70 monthly) with 10 users; Elite and Ultimate add inventory and analytics. Extra users are $2.50 per user per month, billed annually.

Who it's for: small businesses that want low cost and room to grow inside the Zoho suite. Limits: the free plan's revenue cap, and the best fit is when you also use other Zoho apps.

4. Wave – best free option for invoicing and bookkeeping

Wave's Starter plan is $0 and lets you create unlimited estimates, invoices, bills and bookkeeping records. Pro is $19 a month billed monthly, or $190 billed annually, and adds automatic bank transaction import and categorization plus unlimited receipt capture.

Who it's for: freelancers and very small businesses that want free invoicing and simple books. Limits: bank feeds sit on Pro, and Wave's pricing page shows US and Canadian prices, so check availability if you're elsewhere.

5. Odoo – best for accounting inside a wider suite

Odoo is a suite of open-source business apps, from CRM and inventory to accounting. Its One App Free plan gives you one app (and the apps it depends on) free for unlimited users, forever. Standard covers all apps on Odoo Online, and Custom adds multi-company, Odoo Studio and the external API; both are priced per user per month and shown in your local currency on the pricing page.

Who it's for: growing businesses that want accounting, inventory, sales and projects in one system. Limits: the full suite is a bigger rollout than an accounting app; Odoo itself says mid-size companies usually work with a partner.

6. NetSuite – best when you're outgrowing small-business accounting

NetSuite is Oracle's ERP suite. It doesn't publish a price list: you sign a contract, and modules can be licensed separately during that contract, with fees that vary by module. Expect a sales process and an implementation project.

Who it's for: companies with multiple entities, complex revenue or inventory, and finance staff who need ERP-level controls. Limits: cost and implementation effort are in a different league from everything else here.

Build the workflow around the books, not the books

Greta.sh is not accounting software, and you shouldn't build your own ledger. Double-entry bookkeeping, bank feeds, tax forms and audit history are what the tools above exist for, and your accountant will expect one of them.

What often doesn't fit in any of them is the work before an invoice exists. A contractor costing jobs from site visits, an agency approving quotes over a threshold, a wholesaler with a client portal for reorders: those processes end up in spreadsheets bolted onto the ledger. Greta.sh is an AI app builder that generates a full-stack web app, with database, login and screens, from a plain-English description. You can build the quote approval flow, job costing sheet or client portal there and keep QuickBooks, Xero or Zoho Books as the system of record.

Be clear on the trade. You own and maintain what you build, and syncing to an accounting system means working with that vendor's API. Deploying an app needs a paid plan: Greta.sh pricing runs from a Free plan of 5 credits a day (no deployment) to Starter at $5 a month on the welcome offer (normally $20 a month), which adds deployment and a custom domain. For a worked example, see how to build an expense tracker with AI.

How to choose

  1. Count the people who need access. Several users and a tight budget point to Xero (no per-user fees) or Zoho Books (3 to 10 users per plan).
  2. Look at what you sell. Services billed to clients suit FreshBooks. Physical stock suits Zoho Books' higher tiers, Odoo or QuickBooks Plus.
  3. Price the free tiers honestly. Wave Starter, Zoho Books Free and QuickBooks Free all have limits; check them against a normal month.
  4. Check the surrounding tools. Expense, purchasing and billing tools need to sync to your ledger. Our guides to expense management software and purchase order software list which accounting systems each one connects to.
  5. Ask your accountant before you migrate. Switching mid-year is where most of the pain is.

Contracts and project trackers are the other half of back-office paperwork; we've also compared DocuSign alternatives and Smartsheet alternatives.

Frequently asked questions

What is the best free alternative to QuickBooks?

Wave's Starter plan is $0 with unlimited estimates, invoices, bills and bookkeeping records. Zoho Books Free stays free while annual revenue is under $50K, with 1 user plus 1 accountant. QuickBooks itself now has a Free plan for one user with 2 invoices a month. Odoo's One App Free plan is free for unlimited users on one app.

Is Xero cheaper than QuickBooks?

At list price, Xero's Early plan is $27 a month against QuickBooks Simple Start at $38, and Xero doesn't charge per user. Early caps you at 20 invoices and 5 bills, though, so compare Xero Growing ($59) with QuickBooks Essentials ($85) if you send more.

What is the cheapest QuickBooks alternative for a small business?

Among paid plans, Zoho Books Standard is $15 per organization per month billed annually, and Wave Pro is $19 a month. Both have free tiers worth testing first.

How much does QuickBooks Online cost?

As of October 2026, Intuit lists QuickBooks Online Simple Start at $38 a month, Essentials at $85, Plus at $140 and Advanced at $340, with a Free plan for one user. It was also offering 50% off for the first three months when we checked.

Can I switch from QuickBooks mid-year?

Yes, but plan it with your accountant. Most teams switch at a period end, export lists and opening balances, and keep read access to the old system for historical reports.

Keep the ledger boring

Accounting software should be the dullest tool you own. Pick the one your accountant supports and your team can afford at list price, and put your custom processes in tools built for them.
